Managing Playbooks

Learn how workspace admins can assign playbook permissions, manage all workspace playbooks, set access levels, and view usage insights.

Overview

Playbooks let your team review contracts against your organization's established positions, so everyone applies consistent legal and business standards at scale. This article is for workspace admins and explains how to manage Playbooks across your workspace.

As a workspace admin, you can:

  • Assign specific users permission to create playbooks
  • View and manage all workspace playbooks
  • Set access levels on individual playbooks
  • View insights into how playbooks are used across your workspace

Assign & Manage Playbook Permissions Levels

As an admin, you can assign different permission levels to users within your organization:

  • Playbook user: Users can run playbooks, or edit playbooks they’ve been given specific access to.
  • Playbook creator: Users have Playbook user access, plus the ability to create and share playbooks.
  • Playbook manager: Users have Playbook user and Playbook creator access, plus the ability to publish playbooks as an official resource for the workspace.

To assign playbook permission levels to users, navigate to Command Center → Users & permissions → Users.


View and Manage All Workspace Playbooks

You can view and manage all Playbooks across their workspace, including private and unpublished Playbooks created by other users, by navigating to Command Center → Reporting → Playbooks.

From this page, you can:

  • View and sort a list of all Playbooks in the workspace.
  • Filter the list using the Published, Unpublished, and Created by me tabs.
  • Search for specific Playbooks.

Select a Playbook to open the editor and edit rules, adjust sharing permissions, and publish or unpublish it.

To delete a Playbook, find it in the list and select the delete icon. After confirming deletion, the Playbook will be permanently removed from the workspace.


Set & Manage Access Levels Per Playbook

You can set access levels on an individual playbook by following the steps below.

  1. Navigate to Command Center → Reporting → Playbooks.
  2. Locate the playbook you’d like to update, then select the Review button to open up playbook editing.
  3. Select the Share button in the top right to modify access.
  4. Choose an option for General access, either:
    1. Restricted: Restrict access to specific users and invite individuals by email. For each user, you can set the following access levels:
      1. Can view: view and run the playbook
      2. Can edit: modify playbook rules
      3. Can manage: edit, share, or delete playbook
    2. Anyone in your workspace: allow all users in the Workspace to get view, edit, or manage access. You can still add individual users to give them custom access.

View Workspace Playbook Insights

You can view additional data on how playbooks are used across your workspace by following the steps below.

  1. Go to Command Center → Reporting → Playbooks.
  2. From here, you can review playbook data such as:
    1. Created by: the user who create the playbook
    2. Run count: the number of times the playbook has been used
    3. Shared with: high level understanding of access levels granted
