Overview
Agentic Vault file organization lets you organize, rename, move, and deduplicate files across a Vault by opening a new thread and describing what you need in plain language, turning hours of manual document sorting into minutes.
You can now tell Harvey to:
- Save files to an existing or new Vault
- Create folders and move files and folders between them within a Vault.
- Rename file and folder names to a consistent format, and tag files by category (tagging coming soon).
- Detect and flag duplicate files across a Vault for your review.
- Summarize a folder’s contents in plain language.
How to Use
- Open a new thread and attach one or more Vaults, or open a Space that contains Vaults.
- Describe what you want Harvey to do in plain language. For example:
a. "Organize the files in this Vault into folders by counterparty and agreement type."
b. "Rename all files in the Contracts folder to follow the format: [Counterparty] - [Agreement Type] - [Date]."
c. "Find and flag any duplicate files in this project." - Review Harvey’s proposed plan and press Confirm to proceed, or adjust your instructions.
Upon confirmation, Harvey executes your requested changes. Results will be visible in your Vault immediately.
Tip: Be specific. "Organize this Vault" works, but "Organize files into folders by counterparty name and agreement type" produces a much better result. Reviewing the plan carefully before you confirm is more reliable than reversing changes afterward.
Notes & Limitations
- All organization stays within one Vault. Harvey organizes files inside the Vault project you're working in, and cannot move them between Vaults or between Spaces.
- Content is not modified. Organization actions only affect file locations, names, and metadata, not the content inside a document.
- Permissions and ethical walls are enforced. Harvey can only organize files that you have edit access or full access to. Users with read-only access cannot trigger organization actions, and files protected by ethical walls cannot be moved, renamed, or tagged.
FAQs
Q: How many files can Harvey organize at once?
Harvey can organize thousands of files in a Vault within a single thread. For larger jobs, Harvey proposes a plan that breaks the work into batches of up to 300 files, which you can edit or approve before it starts, then works through them one at a time.
Q: How long does it take to organize Vault files?
Organizing hundreds of files can take a few minutes, and thousands may run half an hour or longer. For closer review, ask Harvey for smaller batches or point it at one folder at a time.
Q: Can Harvey delete files from a Vault or move them to a different Vault?
No. Agentic file organization is intentionally non-destructive — Harvey can move, rename, and reorganize files, but all changes stay within the Vault you're working in. It cannot delete files or transfer them to another Vault or Space, so nothing is ever permanently removed from your project. If you need to delete files, you can do so manually from the Vault page.
