Overview

Guest Accounts enable controlled collaboration with external, non-Harvey customers. Guests have limited access to your workspace and only see what is explicitly shared with them.

Your organization can invite an external user and grant them access to a specific Shared Space, while keeping the rest of your workspace private and governed by your existing policies.

With Guest Accounts, you can:

  • Collaborate with external partners directly in Harvey
  • Limit access only to the Spaces, tools, and artifacts you intend to expose
  • Maintain security, privacy, and data ownership within your organization
  • Invite external collaborators at no additional cost

Key Concepts

Guest Accounts are designed for collaboration across organizations — for example, between a law firm and a client, or in-house counsel and a specialist — without requiring both parties to be Harvey customers.

  • Guests can only be invited to Shared Spaces. A Shared Space contains the specific tools, artifacts, and data you choose to collaborate on externally.
  • Shared Spaces only support two organizations. You can only invite one additional organization to a space, whether a Harvey customer or guest organization.
  • All members of a Shared Space — including guests — can see and interact with everything inside that Space.

Permissions and Approval

Guest access is tightly scoped:

  • Guests can edit existing tools, artifacts, and data within a Shared Space
  • Guests cannot create new tools, artifacts, or data from scratch
  • Guests can run grounded Assistant queries based only on content in the Shared Space

A workspace or connection admin must approve all guest invitations.

How to Use

Invite a Guest to a Shared Space

  1. Open the Shared Space you want to share.
  2. Click Share.
  3. Enter the guest’s work email address. For example, user@client.com.
    1. Personal email domains, such as gmail.com, are blocked.
  4. Send the invitation.
    1. If you are not an admin, the guest invitation request is submitted for admin approval.

For Admins: Approve a Guest Invitation

  1. Navigate to Settings > External connections.
  2. Open Requests.
  3. Click View on a request to open details:
    • Invitee
    • Target Shared Space
  4. Approve or decline the request.
    • Approve: Access is granted immediately.
    • Decline: No access is granted.

Guest Access Experience

  1. The guest receives an email with a one-time code.
  2. They complete a passwordless authentication step.
  3. They are taken directly into the Shared Space they were invited to.

Guests must use the email access link each time they return to Harvey. They’ll be prompted to enter their email and receive a unique code each time.

Current Capabilities

Guest Accounts are intentionally limited to ensure secure collaboration:

  • Guests can only be invited to Shared Spaces, not individual resources.
  • Guests cannot log into the Harvey app directly — access is available only through email links.
  • Guests cannot:
    • Create new tools, artifacts, or data from scratch
    • Submit Assistant queries without referencing a Spaces knowledge source
    • Invite additional users
    • Access Examples from the Library
    • Use proprietary Knowledge Sources (Lexis, Wolters Kluwer, Rettsdata)
    • View usage metrics or analytics
    • Receive tools or artifacts outside a Shared Space
  • Multi-factor authentication (MFA) and single sign-on (SSO) are not applied directly to Guest Accounts.
  • Guests must have a company-domain email address, personal domains like gmail are blocked.

Tips for Success

  • Create and review a Shared Space before inviting guests — everything in the Space is visible to them.
  • Ask guests to bookmark their email access link for faster return access.
  • Remove guests from Shared Spaces promptly when collaboration ends to maintain least-privilege access.

FAQs

Q: Do Guest Accounts cost extra?

No. Guest Accounts are available at no additional cost.

Q: Can I tell whether a guest already has a Harvey license?

No. Harvey does not indicate whether a guest has an existing Harvey license, to preserve privacy.

Q: Is guest activity logged?

Yes. Guest activity — including logins, queries, and edits — is captured in audit logs alongside other user activity.

Q: Where is guest data stored?

All data accessed or edited inherits the same data retention, security, and contractual obligations applicable to your workspace.

Q: Can a Guest Account be upgraded later?

Yes. Guest Accounts are created using the guest’s email domain, which simplifies upgrading them to a Harvey customer later, if needed.

Q: How many guest can be added to a shared space?

There are currently no limits to the number of guests you can invite to a space, but they must be on the same email domain. In other words, you cannot invite guests from multiple organizations. To protect the security, performance, and fair use of the service, Harvey may from time to time set or adjust reasonable limits on how many guest users can be invited to or active in a given workspace.
