Sharing Vault Projects

Learn how to share Vault projects with colleagues and control sharing access within your workspace.

Overview

Vault Projects can be shared seamlessly with other professionals in your workspace. Sharing is limited to members of the same workspace, meaning only users within your organization can access shared items.

By default, all projects are private. Users must explicitly grant access to a project before it is available to other users.

Granting Access

Note: Sharing options may vary based on workspace settings. If the Share button isn’t visible, please contact your Harvey workspace admin for assistance.

After you create your Vault project, you will see an option to Share your project in the top right corner.

Projects can be shared with users that have access to Vault in two different ways:

  1. Sharing with individual users.
  2. Sharing with anyone in the workspace via a link.

Sharing with individual user(s)

  1. Enter the email address(es) in the text field.
  2. Choose an access level from the dropdown:
    1. Can view: View and copy queries and files.
    2. Can edit: Modify queries and add or remove files.
    3. Full access: Manage the project and modify sharing access.
  3. Click Grant permission.
Click on the 'share' option in the top right and enter individual email addresses in the search bar.
  1. From the dropdown, select Anyone at [company] with the link.
  2. Choose an access level from the dropdown:
    1. Can view: View and copy queries and files.
    2. Can edit: Modify queries and add or remove files.
    3. Full access: Manage the project and share access with others.
  3. Click Copy link and share the link in any form you prefer.
Click on the share button in the top right corner and copy the link to share with anyone in the workspace.

Removing Access

You can revoke access at anytime by navigating back to the project and clicking on Share in the top right corner.

Open the dropdown menu next to the user or link you want to revoke and select Remove.

To remove access, open the sharing link in the top right and click 'Remove'

Viewing Shared Projects

With shared access, users can view all files and queries within the project. Depending on the access level granted by the sharer, they may also have either edit permissions (allowing them to modify files/queries) or full access (enabling changes to the entire project or sharing settings).

You'll find any projects shared with you in the Shared with you section at the top of the Vault page, right next to Your Projects. This view is purpose-built to surface what matters most:

  • Unread badge highlights any new shared projects you haven’t opened yet.
  • Retention warning alerts you when a project is nearing automatic deletion due to retention policies.
  • Smart sorting keeps your most recently opened projects at the top—both in the Vault and the sidebar—for faster access.
    • Some order logic remains unchanged: Knowledge Base (KB) projects always appear first.
Next to 'Your Projects' in Vault you will see a 'Shared with you' tab once Vault projects have been shared.
